SWEETPOKER · APPLICANT PRIVACY
YOUR INFORMATION.
This notice explains how information submitted through Sweetpoker application and contact forms is handled. It is written for the person sending it, not as a legal maze.
WHAT WE COLLECT
We collect the contact details, age, location, poker game and playing environment, experience, stakes, volume, results, availability, screen names, financial ranges, written answers, and links that you choose to submit through an application. If you contact us, we collect your name, email address, chosen topic, and message. Draft application answers stay in your browser on the same device until you submit them.
WHY WE USE IT
Authorized Sweetpoker reviewers use application information to assess fit, communicate with you, and document a human decision. After a Phase 2 questionnaire is submitted, an AI service drafts reviewer-only notes from the application and questionnaire answers. That draft is advisory: it does not record a decision or fill the reviewer's fields. A person reviews the material and makes every decision. Sweetpoker support uses contact messages to answer or route your request. The forms do not make an automatic or clinical decision. Submitting an application or being invited to another review stage is not acceptance and does not create a coaching, staking, or profit-sharing relationship. Any eventual offer would be separate and require a written agreement.
WHERE IT GOES
Submitted application records are stored in Sweetpoker's Cloudflare-hosted database. This notice does not promise US-only storage. Cloudflare processes requests, database records, bot checks, and limited operational logs on our behalf. For a submitted Phase 2 questionnaire, Sweetpoker sends the related application and questionnaire answers to Anthropic's API so Claude can draft reviewer notes. Anthropic handles that material under its commercial/API data-usage terms; this account is not opted in to model training, so those inputs and outputs are not used to train Anthropic's models. Anthropic's standard API retention is up to 30 days, subject to its documented legal and usage-policy exceptions or a different written agreement. Resend receives the minimum information needed to send your application receipt and notify the authorized reviewer: your email address and first name for the receipt, plus your name, stakes range, application reference, and submission time for the reviewer alert. Contact messages are delivered through Resend to Sweetpoker's support inbox and are not added to the applicant database. We do not sell submitted information or use advertising trackers on these forms.
Authorized Sweetpoker computers also process these answers. Temporary encrypted copies used to finish saving a report are removed after processing, or on the next run after seven days.
LINKS AND RECORDINGS
If a form asks for a link, Sweetpoker stores the link rather than uploading the file. The service where you host that file has its own privacy terms. Remove private messages, balances, account details, and anything else reviewers do not need.
RETENTION AND DELETION
Submitted application records are retained for five years. During a monthly retention review, an authorized operator in Sweetpoker privacy/support operations checks the reviewer dashboard and runs the authenticated purge for records whose retention period has ended, unless Sweetpoker documents a legitimate need to retain one longer. The dashboard shows the expired count and next expiry, and supports manual deletion. Deleted records may remain in encrypted provider recovery backups for up to 30 additional days before aging out. Contact messages remain in email systems only as needed to answer the request and maintain reasonable support records. Resend keeps delivery activity under its separately configured, shorter email-log retention period.
YOUR CHOICES
You may ask for a copy, correction, or deletion of your submitted information. We may need to verify enough information to find the correct record.
SECURITY AND ACCESS
Reviewer access is restricted, sensitive scoring guidance stays separate from applicant pages, and applicant answers are not intentionally written to application logs. No online system is risk-free, so please submit only information relevant to the application.
